1. The sync program reads your project folders

A small program runs on a computer in your office, such as a Mac or Windows PC that can see your server. It looks through your project folders, read-only, and takes a fingerprint of each file. Then it asks Linkatect which files are new or changed. Only new and changed files are uploaded. Duplicates and files that haven’t changed are skipped.

2. Folder rules decide where files go and who sees them

Each file is filed by the folder it sits in. For example, files in Drawings/Current go to Documents → Current Set, and clients and builders can see them. Linkatect checks the rules itself when a file arrives. The sync program can’t make a file more visible than your rules allow. See Folder rules for the standard layout.

3. Unclear files wait for you in For review

If no rule matches a file, it goes to For review in Studio. Only your team can see it there. If Claude is linked on the office computer, it suggests what the file is and where it probably belongs. Nothing is shared until someone on your team decides. See For review.

4. Revisions replace older versions

File names like A101 RevC.pdf are recognised as revisions. When RevC arrives, RevB is marked as superseded and kept, but people now see RevC. This also happens when a file is saved again with the same name and new contents.

5. People see only what’s shared with them

These limits are enforced by Linkatect’s server, not just hidden on the page.

What gets synced

  • File types: PDF, DWG, JPG and PNG.
  • Up to 50 MB per file. Larger files are skipped and listed in the sync report.
  • Some folders are never read, including fee proposals, finance, archive and recycle folders, as well as system and temporary files.
